Gross salary

Hourly rate

Salary agreement referring to the amount earned by the employee for an hour of work.

HRIS (human resources information services)

System that allows you to manage various administrative roles like training, payroll, recruitment, task management and other aspects of human resources.

Human capital

The skills, knowledge and experience possessed by an individual or group, viewed in terms of their value or cost to an organization.

Human resource department

People responsible for establishing workforce policies within the company.

Human Resource marketing

Type of marketing focused on human resources whose goal is to create employee engagement, promote the brand and support recruitment.

Human Resource program

Program whose goal is to facilitate the various actions and processes related to workforce management. This includes managing employee files, timecards, schedules, replacements,training and many other processes.


Inactive employees

An employee that doesn’t currently work for the company and isn’t offered any shifts on Voilà! This employee can be re-activated at any time.

Instant Messaging

Type of instant communication whose purpose is to notify various groups of employees.

Integration process

Process by which a company sets in motion various actions to welcome a new employee in order to integrate them into the company culture and allowing them to master their responsbilities quickly.


Job offer

Describing what a job offer contains

Job title

Ttitle of the job occupied by the employee within the company. The job title defines what shifts an employee can fulfill based on their qualifications.


Key Performance Indicators

Data collected over time in order to analyze and evaluate your company’s performance to faciliate strategic decision making.


Laid off

Dismissal of an employee from their role within the company, either temporarily or permanently, for performance or organizational reasons.

Net salary

total amount of money an employee receives after taxes and deductions are taken out.

A process that encompasses the actions surrounding an employee’s departure. Which includes retrieiving company equipement and assuring the transfer of any active tasks to their replacements.

On-call shift

Spontaneous work shift. The employee must remain available until the confirmation or cancellation of the shift by the manager. If the shift is never confirmed it will automatically be cancelled.


A process that encompasses the integration of new hires from the moment they sign their new job offer to the end of their training period. The goal is to create employee engagement while also getting their feedback on the hiring process.

Open shift

Work shift that is not originally assigned to an employee. Voilà! invites qualified and available employees to apply for the shift in order of priority to fill all open shifts.

Organizational chart

Company hierarchy whose purpose is to define the roles and help understand the different departments within the company.

Organizational structure

A system that outlines how certain activities are directed in order to achieve the goals of an organization. These activities can include rules, roles, and responsibilities. The organizational structure also determines how information flows between levels within the company.


Time worked by an employee that exceeds the regular hours on the schedule. This can lead to benefits and shift premiums.


Paid vacation

Period of time that the employee is absent from work while being paid by the employer usually via banked hours accumulated beforehand.

Pay period

Period of time included on the paycheque.


Statement containing all of the employees’ payroll information, including dollars earned, salary deductions, balance of vacation banked and net pay.


Document that contains all the information in regards of the payment of an employee’s salary by an employer.

Performance management

A collection of data and reports in order to follow up on workforce costs and scheduling profitability.

Performance score

Score from zero to five stars for a role occupied by an employee. This determines employee performance and allows you to categorize them in order to determine their priority when accepting invited shifts.


Tool allowing an employee to indicate the beginning and end of their work shift and their breaks.



A series of actions implemented by the HR team whose goal is to find new employees to fill existing or new roles within the company.

Recurring shift

Recurring work shift for which you wish to assign the same employee.

Remote work

Work that can be done outside the workplace, usually from the employee’s home.


Replacement request by an employee that can’t fulfill their assigned work shift.



Monetary compensation in the form of annual salary or hourly wages or commision.

Seasonal jobs

Job with a predetermined length that serves to increase the workforce during a busier period.

Shift draft

Work shift that isn’t public. Building a draft allows you to build your schedule and revise it before making it available to employees.

Shift premium

Bonus paid in dollars or hours to an employee that completes a specified shift. These bonuses include night shifts, holidays or other bonuses paid hourly by the employer.

Sick days

Period of time in which the employee can’t accomplish their work due to a temporary physical or psychological condition.

Smart assignment

Customizable business rules to automate the assignment of employees to the various shifts offered.

Smart punch

Set of rules that allows the punch system to round out or adjust employee hours based on the pre approved schedule.

Smart scheduling

Creating schedules with the help of planning and automated systems allowing you to finetune workforce needs and personnel in order to maximize productivity and profitability of your company.


Small and medium businesses comprising of less than 500 employees.

Statutory holiday

Paid leave of period and rate that is determined by laws established in the territory or region where the country operates.


Specific location within the workplace allowing you to assign employees in a particular area. For example, a section of the assembly line, an area of the store or restaurant, or a type of patient.


User status that comes with a set of authorizations allowing the user to manage the structure, timesheets, employee files and schedules.

All features pertaining to tracking and validating timesheets data including the punch, timesheets and absences.


Detailed report of the hours worked, expense account, bonus and overtime accumulated by employee whose goal is to evaluate these amounts before the end of the pay period.


Ratio of employees leaving the company vs the employees currently employed..



Short or long term absence of an employee from work including their vacation or sick day. This includes paid and unpaid leave.


Web console

Interface allowing employees to clock in and out for workshifts on a computer or tablet made available to them by the employer.

Work contract

Written agreement on which the employee agrees to occupy a position within the company in exchange for a fixed or variable compensation.

Workforce budget

Amount of money or hours allocated to a team or workplace to cover the workforce needs on a given period of time.


Physical location where employees realize their work. This can be linked to a GPS coordinate to verify that the employees are where they say they are during their work period.

Workplace accidents

Physical or psychological injuries suffered by employees’ during their working period which limits or hinders employees from accomplishing their tasks.
